Terms of service

These terms are an agreement between Medtravel AI (“we”, “us”) and the organisation that opens a workspace (“you”). If you accept them on behalf of an agency or hospital, you confirm you are authorised to do so. Everyone you invite into your workspace is bound by them too.

A workspace is yours alone. Your patients, cases, documents, partner hospitals, prices and branding are separated from every other organisation on the platform and are never shown to another client. You are responsible for who you invite and for the accuracy of what you publish — in particular prices, inclusions, exclusions and hospital information shown to patients.

A free trial includes a limited number of cases, staff accounts and AI credits. When an allowance is used up, the affected feature pauses while the rest of your workspace keeps working. Paid plans and AI credit packs are invoiced to you; credits are added once payment is received. Credits are not refundable and do not expire while your workspace is active.

We are software, not a healthcare provider. We do not give medical advice, do not recommend treatment, and do not verify clinical decisions. Estimates, comparisons and summaries produced in the platform — including those produced with AI assistance — are drafts for your team to check before they reach a patient. Care is delivered by the hospitals and clinicians you work with, and responsibility for it rests with them and with you.

• Do not upload patient information you are not permitted to hold or share.
• Do not use the platform to send unsolicited marketing to patients.
• Do not attempt to reach another organisation’s data, or to test our security without asking.
• Do not resell or rebrand the platform as your own software product without a written agreement.

We may suspend a workspace that puts patients, other clients or the platform at risk, and will tell you why.

The information in your workspace belongs to you. You can export it at any time while your workspace is active, and you can ask us to delete it. How we handle personal information is described in our privacy notice and data processing terms.

We work to keep the platform available and to protect your data, but we cannot promise uninterrupted service. To the extent the law allows, we are not liable for lost profits, lost business or indirect losses, and our total liability in any twelve-month period is limited to the fees you paid us in that period.

You can close your workspace at any time. We may end the agreement if fees stay unpaid or the acceptable use rules are broken. After closure we keep your data for 30 days so you can export it, then delete it.
